Treasury Analyst / Executive Assistant

Reports to: Director, Treasury & Chief Financial Officer

Location: Toronto

Overall responsibilities

The Treasury Analyst / Executive Assistant position performs administrative tasks in the maintenance of daily treasury operations including controls, verification, preparation, distribution, reports, computer data entry, invoicing and collection, and any other transactions affecting treasury operation. In addition, performs as Executive Assistant to the Chief Financial Officer (CFO) and Finance team.

Position responsibilities

• Provide administrative clerical support to the treasury
• Organize internal and external meetings, including preparing agendas, logistics, scheduling, arranging catering, record and distribute meeting minutes
• Support treasury in financial transactions, bank deposits, wire transfer, etc.
• Maintain and manage petty cash
• Prepare bank statements and relevant financial records for treasury and executive team
• Maintain and manage treasury and financial files, bank records, financial reports and logs
• Provide administrative assistance and support auditors as required
• Manage and distribute incoming mail, prepare and send outgoing mail including registered mail
• Provide administrative support for the discharge process, including reviewing and updating master lot closing list, preparing discharge letters for signature
• Receive, review, log and process payment of invoices
• Responsible for managing donations to charitable foundations, record keeping and processing donations
• Letters of Credit issuance through partner banks
• Prepare Letter of Credit Summary, confirming all reductions, draws, cancelations have been accepted by corresponding banks
• Provide personal assistance to CFO and other members of the senior Finance team
• Manage CFO’s calendars, schedule appointments, manage various reservations
• Coordinate travel arrangements and submit expense reports
• Drafting, editing and proof reading internal and external correspondence such as emails, faxes, memos and presentations
• Prepare various financial reports, including quarterly reports for executive team
• Keep departmental office supplies stocked, ordering supplies as required
• Conducting research or assisting with special projects
• Other duties as assigned by the CFO or Director, Treasury

Qualifications

• Minimum 5 years of administrative experience reporting directly to senior management
• Excellent knowledge of MS Office
• Exemplary planning and time management skills
• Up-to-date with advancements in office tools and applications
• Ability to multitask and prioritize daily workload
• High level verbal and written communications skills
• Discretion and confidentiality
• Exceptional interpersonal skills and professional demeanor
• Excellent verbal and written English communication skills
• Forward thinking, proactive, “can do” approach
